About the Role
Duck and Craig is looking for a highly organised and detail-oriented Media Buyer Booking Assistant to support our Head of Media Buying. This role is critical in ensuring the smooth coordination, booking, and administration of media campaigns across multiple platforms.
The successful candidate will act as the right-hand support to the Head of Media Buying, assisting with media bookings, managing campaign documentation, coordinating with suppliers and internal teams, and ensuring all media placements run accurately and on schedule.
This is an in-office role based in Bryanston, ideal for someone who thrives in a fast-paced agency environment and enjoys working with detail, systems, and timelines.
Key Responsibilities
Media Booking and Administration
Assist the Head of Media Buying with booking and scheduling media placements across relevant channels.
Prepare and process media booking forms, insertion orders, and confirmations.
Maintain accurate records of bookings, contracts, and campaign documentation.
Ensure all bookings align with approved media plans and budgets.
Campaign Coordination
Track and manage campaign timelines, booking deadlines, and material delivery schedules.
Compile and maintain chase lists for creative and campaign materials, ensuring all assets are received ahead of media deadlines.
Proactively follow up with internal teams and external partners to ensure materials are delivered on time.
Liaise with media owners, publishers, and suppliers to confirm placements and material requirements.
Coordinate internally with strategy, digital, creative, and client service teams where necessary.
Reporting and Reconciliation
Assist with campaign reporting and performance tracking.
Support the reconciliation of media invoices and booking confirmations.
Help ensure that billing aligns with confirmed bookings and media schedules.
Operational Support
Maintain organised filing systems for media schedules, contracts, supplier documentation, and campaign materials.
Support the Head of Media Buying with administrative tasks and campaign logistics.
Monitor and flag any booking discrepancies, scheduling conflicts, or missing campaign assets.
Requirements
1–3 years experience in media buying support, media planning administration, or campaign coordination (agency experience advantageous)
Exceptional organisation and attention to detail
Strong administrative and coordination skills
Experience managing chase lists, deadlines, and material delivery schedules
Ability to manage multiple campaigns and deadlines simultaneously
Excellent communication and follow-up skills
Proficiency in Microsoft Excel
