Job description

The Administrator plays a pivotal role in supporting Donor Relation’s fundraising efforts and external communication strategies.

We are searching for an organised and meticulous Assistant/ administrator to support our donor relations department with fundraising and events admin at the Childrens Hospital Trust.

The ideal person will be a team player work closely with the head of communications and Head of Fundraising.

The successful person will be responsible for but not limited to.

Communications administration
  • Events

-          Implement all events as per plans

-          Research vendors and venue for each type of event

-          Cordinate event documentation and administration

-          Collect and deliver materials or props required for events

-          Assist in setting up and breaking down events
  • Media

-          Provide support with media coordination for each event.
  • Inventory management

-          Organise and maintain the DR cupboards, ensuring promotional items, brochures, and stationery are well-stocked and in order.

Fundraising administration
  •  Donor administration

-          Donor correspondence: Send thank you letters to donors within 48 hours of receiving the donation
  • Mail management

-          Regularly check the CHT mailbox, respond to donor queries, and manage correspondence efficiently.
  • Database maintenance

-          Update donor information on Devman based on interactions from the CHT mailbox and support to fundraisers
  • Gift bags

-          Prepare and pack donor gift bags as required.
  • Administrative support

-          Perform other general administrative duties as assigned to support the Heads of the DR team.

Requirements

Experience and skills needed;
  • A minimum of one year of relevant experience preferred
  • Able to multitask and solve problems
  • Excellent communication and organisation skills
  • Attention to detail
  • Microsoft Office proficiency
  • Valid driver’s licence and dependable transportation
  • Relevant qualification will be an advantage
