Position overview

MyData is seeking a highly organised and proactive Operations Coordinator to play a pivotal support role across three of the company’s functions: the operations manager, the CEO, and the chief customer officer. This is not a passive administrative role — it is a high-trust, execution-focused position for someone who thrives on keeping things moving, communicates with professionalism, and takes genuine ownership of the details that others rely on.

As MyData scales, this person will be the connective tissue between operational, commercial, and executive activity — ensuring that processes are followed, vendors are well-managed, records are accurate, and nothing falls through the cracks.


Core purpose

To support the day-to-day operations of MyData by executing recurring operational and administrative processes with precision, coordinating across the operations manager, CEO, and chief customer officer, and ensuring that the business has the operational foundation it needs to grow.

Key responsibilities

Operations support
  • Oversee day-to-day office management, including facilities administration, monitoring and replenishing supplies, and scheduling routine office audits to ensure the office runs smoothly at all times.
  • Maintain and update the company asset registry, ensuring all devices and equipment are accurately logged, tracked, and records are kept current.
  • Support with billing administration, including payment tracking, and vendor account reconciliation.
  • Coordinate internal team and vendor onboarding, including documentation collection, system access setup, and handoff coordination.
  • Manage internal tools and system subscriptions, flagging renewals, access issues, or changes to the Operations Manager.
  • Maintain an organised and accessible document management system for all operational, client, and executive records.
  • Assist with ad hoc reporting and data collation to support operational and business performance reviews.
  • Assist with SOP development and process improvement initiatives, flagging inefficiencies and contributing to proposed solutions.
Executive and CEO support
  • Provide coordination support to the CEO including scheduling, meeting preparation, and action item tracking.
  • Coordinate cross-functional follow-ups, ensuring alignment across teams and that key actions are seen through to completion.
  • Coordinate across the operations, commercial, and executive teams to ensure alignment on shared priorities.
  • Support the preparation, filing, and management of contracts, agreements, and confidential documentation.
  • Support the preparation and formatting of client presentations, coordinating logistics and scheduling where required.
  • Conduct market research and compile findings into clear, structured summaries to support business decision-making.
  • Assist with strategy and planning sessions, including scheduling, coordinating inputs from relevant stakeholders, and tracking outputs and follow-through.
Customer and commercial support
  • Support in managing and maintaining the CRM system, including capturing client data, updating records, and ensuring data integrity.
  • Track client onboarding progress and coordinate with internal teams to ensure a smooth and consistent client experience.
  • Serve as an initial point of contact for inbound client and partner queries, routing to the appropriate person and following up on outstanding items to ensure timely resolution.
  • Support the contracting process by drafting and formatting agreements from templates, tracking contract status, and coordinating follow-ups to ensure timely completion.
Qualifications and experience

Required

  • Bachelor's degree in business, commerce, or a related field — or equivalent practical experience.
  • Minimum 3 years of experience in an administrative, coordination, or operations support role, ideally within a data-driven or tech business environment.
  • Demonstrated experience working across multiple stakeholders, including senior leadership.
  • Proven ability to handle confidential information with discretion and integrity.
  • Ability to work well under pressure, managing multiple priorities simultaneously without compromising on quality or attention to detail.
  • Valid driver's license and access to own vehicle.
Advantageous
  • Experience working within a fast-paced fintech or financial services environment.
  • Understanding of POPIA and data protection principles applicable to South African businesses.

Administrative skills
  • Strong general administrative skills including scheduling, document management, and internal coordination.
  • Proficient in managing CRM and project management systems, including capturing, updating, and maintaining accurate data.
  • Comfortable with numbers and data - able to support billing reconciliation, reporting, and data collation with accuracy and attention to detail.
  • High level of confidentiality and personal integrity in the handling of sensitive information and documentation. 
Technical skills
  • Microsoft 365 suite — required

Work environment

This position operates on a hybrid model, with team members currently expected to be in office a couple of days per week. Additional in-office days may be required from time to time based on key meetings, client coordination, or team collaboration needs. Please note that the hybrid arrangement is subject to change at the company's discretion as the business evolves.

The role requires a high degree of autonomy and personal accountability. We trust our team to manage their time well and deliver without being micromanaged.
